Exhibiting in Riyadh: A 90-Day Plan That Fills the Meeting Diary

A busy stand is not the goal. Booked meetings with named buyers are. Here is a 90-day countdown for Riyadh shows, timed around the 2027 holiday calendar and drawn from two editions of Intersec Saudi Arabia.

Exhibiting in Riyadh: A 90-Day Plan That Fills the Meeting Diary — RX Insights
Key takeaways
  • Confirm show dates and venue in writing with the organiser: Intersec Saudi Arabia's 2026 edition was reported postponed weeks before opening.
  • Plot holidays and the Friday-to-Saturday weekend, then count working days, not calendar days.
  • Size the diary by who can hold each kind of meeting, and give each partner brand its own announcement as a reason to call.
  • Lock the diary before the last holiday in the window; for a late-May 2027 show, that means before Eid al-Adha.

Most exhibitors in Riyadh judge the show by how busy the stand looked. In our experience, the companies that come back with a real pipeline judge it by something less visible: how many named buyers had a confirmed time slot in the diary before the doors opened. That diary is built over about 90 days, and in Riyadh those 90 days rarely run in a straight line. Public holidays, Ramadan, a Friday-to-Saturday weekend and a crowded venue calendar all bend the schedule.

The countdown below has four stages, each with the Riyadh checks that move deadlines. It draws on RX’s work for Azeidk at Intersec Saudi Arabia in 2024 and 2025: one announcement per partner brand, Arabic dinner invitations as cards and WhatsApp versions, teasers, and a client dinner on the second show day.

Start with the Riyadh calendar, not the booth

Before you set any deadline, put three things on one page: the show dates, the holidays inside your 90-day window and the working days your buyers actually keep.

  • Show dates. Confirm them with the organiser directly, and check again before you send anything. Intersec Saudi Arabia shows why. On 31 October 2026 the Intersec Saudi Arabia website still listed the 2026 edition for 16–18 November 2026 at Riyadh Front Exhibition & Conference Center. But on 19 October 2026 TradeArabia reported that the organiser, Messe Frankfurt Saudi Arabia, had postponed that edition to October 2027 in Riyadh, citing regional tensions, only weeks before it was due to open. The report gave no exact 2027 dates. When a listing and a news report disagree, ask the organiser in writing before you plan around either. The Big 5 Construct Saudi site lists two 2027 editions at Riyadh Front, 24–27 May and 19–22 September 2027.
  • Venue. Riyadh shows don’t all use the same venue, and the same show can move between editions. Azeidk’s 2024 Intersec stand was at the Riyadh International Convention & Exhibition Center; the postponed 2026 edition had been listed at Riyadh Front. Directions, parking notes and dinner timings in your invitations depend on the venue, so confirm it before anything is designed.
  • Holidays. Saudipedia gives Founding Day as 22 February and National Day as 23 September each year, with both Eids following the Hijri calendar. For 2027, Office Holidays estimates Eid al-Fitr from 9 March and the Eid al-Adha holiday from about 15 May. Both Eid dates depend on the lunar calendar, so treat them, and the Ramadan dates before Eid al-Fitr, as estimates until the authorities announce them.
  • Working week. Saudipedia gives the weekend as Friday and Saturday. Plan messages, calls and confirmation rounds for Sunday to Thursday.

Line these up for the two 2027 Big 5 dates and real constraints appear.

Days 90 to 61Eid al-Fitr (estimated from 9 March) takes several working days out of the planning monthNo public holiday in the window

First follow-up daySunday 30 May, after the Friday–Saturday weekendSunday 26 September: the day after closing is National Day (Thursday 23 September), followed by the weekend

Neither date is a reason to stay away. Both are reasons to move your deadlines earlier. For the May show, we would plan to lock the diary before Eid al-Adha begins, not in the few working days after it.

Days 90 to 61: decide what a full diary means

A meeting plan needs a number and a list before it needs a design. We suggest agreeing three things in the first month.

1. Capacity by role, not just by headcount

Count the people who can actually hold each kind of meeting. A consultant reviewing specifications usually needs the technical engineer; a contractor discussing supply needs a salesperson; a partner-brand representative is only on the stand on the days the brand confirms. Then count usable slots per day. As a hypothetical example, three sales staff over a three-day show, each taking one 30-minute meeting per hour for five of the open hours, give a ceiling of 45 meetings, but if only one engineer is on the stand, consultant meetings are capped at a third of that. The ceiling is not a target to hit at any cost. It stops you inviting 600 people for 45 slots and then letting the people who matter wait.

2. The named-account list, mapped to who decides

In fire, safety and MEP, the sectors where RX’s exhibition case studies sit, purchases are rarely decided by one person. Consultants specify, contractors buy and facility owners approve. For each target account, note which of those roles you want to meet and the reason they should come this year: a new brand, a product they haven’t seen, or a project you know is coming. How to tier the list and who sends which invitation is covered in our guide to exhibition invitation campaigns.

3. Side events and permits

Decide now whether you will host anything off the stand: a client dinner, a technical session or a product demonstration at a hotel. For the technical-session format, look at the HoodSafer seminar in Jeddah, a standalone evening rather than a show side event: Azeidk’s invitations set out a clear programme (reception and networking, the technical session, then gifts and dinner), and a co-branded version was produced for Falcon Power’s guests. In Saudi Arabia, the exhibitions and conventions sector is overseen by the Saudi Conventions & Exhibitions General Authority, established in December 2018. Whether a particular side event needs a licence depends on its format and audience, and on the rules in force at the time. Ask the show organiser, the venue or hotel and, where needed, the authority itself before you publish a date on an invitation. This guide is not legal advice.

Before day 61: show dates confirmed in writing with the organiser, venue confirmed, holidays plotted, meeting capacity calculated by role, named-account list owned by sales, side-event format chosen and permit question asked.

Days 60 to 31: build the announcement sequence

This is when buyers form a reason to visit. In both Intersec editions, the campaign RX built for Azeidk was a sequence of announcements, not one invitation sent many times. For Intersec Saudi Arabia 2024, the work included a series announcing each exclusive-agency brand on its own, large-format visuals for screens and social, countdown teasers and a client dinner. For Intersec Saudi Arabia 2025, it was a branded series with one announcement per partner on a single show visual system, invitations with stand details and dates for the sales team to share, and a short teaser cut for feed, stories and WhatsApp.

Why we think one announcement per partner works for a meeting plan:

  • Each announcement gives a salesperson a reason to call. “We are now the exclusive agent for this brand, and its team will be on our stand” is a better opener than “please visit us”.
  • Each one reaches a different buyer. A fire-alarm brand interests different consultants from a pump or CCTV brand. Separate posts let sales forward the right one to the right person.
  • Partner brands can share them. Agree each partner’s approval process and logo rules early. In our experience, partner sign-off is often the slowest step in this stage, and in a May 2027 countdown it runs straight into Eid al-Fitr.

Plan the sequence in Arabic and English. In 2024, the client dinner invitations were designed in Arabic, as physical cards and as WhatsApp versions. A WhatsApp invitation forwarded by someone the buyer already knows usually gets more attention than a bulk email. Size every asset for that use: a vertical version, a short caption and stand details in the image itself, so nothing depends on the caption surviving a forward.

Also at this stage, complete your listing in the organiser’s tools. Intersec Saudi Arabia’s exhibitor page describes an event app where visitors can browse exhibitor profiles, request meetings and express interest in products. For a meeting plan, those requests are diary entries waiting to happen: decide who answers them, and within how long, before the app opens to visitors.

Days 30 to 1: turn interest into slots

Announcements create interest. The last month turns it into times in the diary. The invitation guide sets out a week-by-week countdown; for the meeting plan, three Riyadh-specific adjustments matter more than the exact week.

  • Count working days, not calendar days. Strip out Fridays, Saturdays and any public holiday, then fit the invitation, reminder and confirmation rounds into what is left. In a May 2027 countdown, Eid al-Adha can remove most of a week.
  • Lock the diary before the last holiday, not after it. By the lock date, each slot should have a name, a host and a topic, and partner-brand staff attendance should be confirmed in writing.
  • Put the venue in every confirmation. Send the hall, stand number and a location pin with each confirmed slot, especially when the show has moved venue since the buyer last visited.

A meeting diary to copy

Professional recommendation: run the diary as one shared sheet owned by the named sales lead, with one row per slot. The first row below is a filled hypothetical example; the second is blank for your entries.

Slot (day, time)AccountRoleHostBack-upTopicPartner rep neededConfirmedItem promisedFollow-up due
Day 1, 10:30[MEP consultancy]ConsultantTechnical engineerSales managerFire-alarm range for an upcoming hospital projectYes, partner engineerYes, in writingData sheets and approval documentsWorking day 1 after the show
Consultant / contractor / owner / partnerYes / noYes / noWorking day 1–3

Two columns do most of the work. “Back-up” means a busy aisle never leaves a booked buyer waiting, and “Follow-up due”, counted in Sunday-to-Thursday working days, turns the post-show stage below into a list rather than a memory exercise.

For the side event, the Azeidk official event at Hyatt Regency Riyadh in July 2025 is a useful model, even though it was a standalone event and not a show side event. The bilingual invitations carried the date, time, venue, sponsors and partners. A QR code led to registration and the location pin, and a countdown series ended in a “One day to go” visual. Registration gives you something an invitation alone can’t: a confirmed list you can plan seating, partner hosts and conversations around.

Finish the booth content in this window too, and build it around the meetings. If the diary is full of consultants, the screens should show specifications, approvals and project references, not only brand films. Design guidance for the stand itself is in RX’s separate guide to booth graphics.

Show days: protect the diary

A confirmed diary still fails if the stand team treats it as optional once the aisle gets busy. Three habits help.

  1. Every scheduled meeting has a named host and a back-up. Walk-in traffic is welcome, but it should never displace a booked buyer.
  2. Consider holding the client dinner mid-show. In 2024, Azeidk’s client dinner was held on 2 October, the second of three show days, at a hotel in Riyadh. In our view, a mid-show dinner lets you invite people you met on day one and continue conversations started on the stand. Check travel time between the venue and the hotel, and set the start time with Riyadh traffic in mind.
  3. Record each meeting before the next one starts. One line on what the buyer needs, one on the agreed next step and the date it is due. Build-up and closing times are set by the organiser (Intersec Saudi Arabia’s exhibitor page says stands must not be dismantled before the 7:00 pm close on the final day), so plan breaks and handovers within the open hours, not after them.

The first ten working days after the show

The meeting plan only pays off if the follow-up starts while buyers still remember the conversation. Counting Sunday-to-Thursday working days, and starting after any holiday that follows the show, we suggest sending every scheduled meeting a personal follow-up within the first three working days, with the item promised: a data sheet, a quotation request form or a site-visit date. By day ten, the sales director should be able to see which meetings have become opportunities and which have gone quiet.

Coverage shot during the show, from partner moments to the dinner and product demonstrations, can keep the show visible for weeks to people who couldn’t attend, if it is planned before the crew arrives. Why show contacts stall after the show, and how to find the leak, is covered in RX’s diagnosis of why exhibitions produce badge scans but no pipeline; measuring the return has its own guide on exhibition ROI.

What to settle before you sign the space contract

If you are deciding now whether to exhibit in Riyadh in 2027, these questions decide whether the 90 days will work:

  • Has the organiser confirmed the dates and venue in writing, and what happens to your space and payments if the edition moves?
  • Do you have a reason for each target buyer to meet you this year, such as a new brand, product or capability?
  • Will partner brands send people, approve content on time and share the announcements?
  • Who owns the meeting diary: a named sales lead, not “the team”?
  • Does the 90-day window cross Ramadan, either Eid or National Day, and have the deadlines moved earlier to match?
  • If you plan a dinner or session off the stand, have you checked the permit question and booked the venue?

RX covers this work under its events and exhibitions service: partner announcements, bilingual invitations, teasers, booth and on-site branding, coverage and post-event content, planned around the meeting diary rather than around the booth. If you can’t yet answer the questions above, we would settle them, and set the diary’s lock date against the holidays in your window, before any design work starts.

Frequently asked questions

How early should we start marketing for an exhibition in Riyadh?

We would start around 90 days before opening for the account list, side-event decisions and partner approvals, with announcements from about 60 days out. Start earlier if Ramadan, Eid or National Day falls inside the window.

When is Intersec Saudi Arabia?

On 31 October 2026 the organiser's site still listed the 2026 edition for 16–18 November 2026 at Riyadh Front Exhibition & Conference Center, but TradeArabia reported on 19 October 2026 that the organiser had postponed it to October 2027 in Riyadh, without exact dates. Confirm the dates and venue with Messe Frankfurt before planning.

Do we need a permit for a client dinner or seminar during a Riyadh exhibition?

It depends on the event's format, its audience and the current rules. Ask the show organiser, the venue or hotel and, where needed, the Saudi Conventions & Exhibitions General Authority before you publish a date. This is not legal advice.

Should exhibition invitations in Saudi Arabia be in Arabic or English?

Prepare both. Make sure the stand number, hall and dates are inside the image itself, so the invitation still works when it is forwarded on WhatsApp without its caption.
