- Sell the maintenance plan at installation handover, with the unit details already on the plan sheet.
- Fixed visits, numbered response targets and written exclusions make a plan easy to compare and renew.
- On WhatsApp, keep service reminders non-promotional; a renewal push is a marketing template under Meta's rules.
- Before using automatic renewal, check disclosure, Arabic-language and cancellation rules in each market, and check the current text.
Many air-conditioning companies sell maintenance contracts the same way: a line at the bottom of the quotation, a mention by the technician as he packs up, and perhaps a winter offer. The customer says “maybe later”, and later never comes.
A maintenance contract is a promise about the future, so the buyer needs to see exactly what they will get, when, and why it is worth paying for before anything goes wrong. This guide sets out a sales system for HVAC installers and service firms in the Gulf and Egypt: the offer, the content that justifies the fee, the follow-up after installation, renewals, and the consumer-law points to check before automatic renewal. Seasonal campaign timing is covered separately in our 12-month AC marketing calendar; this article is about the system that turns each installation into recurring work.
Sell the contract at handover, not months later
The best moment to sell a maintenance contract is the day the new unit starts cooling: the customer has just chosen you and the technician is in the room. Build the contract into the installation process:
- In the quotation: show the installation price and, as a separate optional line, the first-year maintenance plan.
- At handover: the technician gives a one-page plan sheet with the unit details already filled in (brand, model, location, installation date) and explains the first service date.
- In the job record: every installation is logged with a contract status of yes, no or follow up.
For facility managers, the handover file (asset list, drawings, warranty documents) is the opening, and it should arrive with a service proposal attached.
Structure the offer so the buyer can compare
“Periodic maintenance” sells badly because the buyer cannot judge it. Name the plans, fix the visits, and write what is included and excluded. One workable structure, as a starting point; set the actual numbers from your own crew capacity and costs:
| Element | Basic plan (homes) | Priority plan (homes, small offices) | Site agreement (facility managers) |
|---|---|---|---|
| Scheduled visits | A set number per year, one before the hot season | More visits, timed around the hot season | A schedule per asset, agreed per site |
| Breakdown response | Standard booking | Priority booking with a stated target time | Response targets written into the agreement |
| Call-out fee | Stated clearly: included or reduced | Included | Defined in the agreement |
| Parts, gas and major repairs | Quoted separately | Quoted separately, with a stated discount if you offer one | Pre-agreed rates or approval limits |
| Reporting | Service report after each visit | Service report plus reminders | Visit log per asset and a periodic summary for the client |
Three rules make it believable:
- Write the exclusions as plainly as the inclusions. Refrigerant top-ups, compressor replacement, ladder or access equipment for high units, and damage from power surges are, in our experience, frequent sources of dispute. If they are extra, say so on the plan sheet.
- Give every promise a number. “Fast response” means nothing; “a technician visit booked within a set number of working days” can be checked. Only promise what your crews can deliver in the peak.
- Price per unit or per site. Five split units in a villa and a central system in a clinic are different jobs; set a clear rule for adding units.
If you sell in installments or through a bank offer, show the total amount and the schedule in writing. In Egypt, the Consumer Protection Law (Law No. 181 of 2018, unofficial English translation by Andersen) requires installment sales to come with a written document showing the total and cash price, the interest, and the number and amount of installments (Article 30), and requires advertisements, invoices, receipts and contracts to be in Arabic (Article 5).
Write the service content that justifies the fee
Customers often refuse a contract because they cannot see what the technician will do. Make the visit visible before and after it happens.
Before the sale: a visit checklist
Publish your technicians’ checklist, in Arabic and English, on the plan sheet and your website. The US Department of Energy’s Energy Saver guide to air-conditioner maintenance, for example, lists the checks a professional should make: correct refrigerant level, leak testing, recovering rather than releasing refrigerant, airflow through the evaporator coil, electrical terminals, motors and belts, and thermostat accuracy. It also notes that replacing a dirty, clogged filter can lower an air conditioner’s energy consumption by 5% to 15%. The guide is written for US homes, so treat it as general guidance for the Gulf and Egypt, not a promise of savings.
After each visit: a service report
The service report is one of the most underused sales assets in the trade. A short report sent on WhatsApp or email after every visit should show:
- the units serviced, with location in the building;
- what was checked and cleaned, with before and after photos of filters and coils;
- readings taken, where your technicians record them;
- problems found, with a recommended action and whether it is covered;
- the date of the next scheduled visit.
A customer who receives three of these in a year can see what the contract delivered when the renewal comes up.
The follow-up sequence after installation
Most follow-up can run on WhatsApp, with email for facility managers and documents. The sequence below assumes the customer did not sign at handover; the timings are our suggested starting points, so adjust them to your season and service intervals.
| When | Message | Purpose |
|---|---|---|
| Installation day | Handover message: unit details, warranty summary, how to book service, and a request for permission to send service reminders | Collect opt-in and set the relationship |
| A few days later | Check-in: is everything cooling as expected? A short reply from a named person | Catch problems early and earn the review |
| Around one month | The plan sheet, with the first recommended service date for this unit | Make the offer specific to their equipment |
| Before the first recommended service | Service reminder with booking options and the plan as an alternative to a one-off visit | Convert a one-off visit into a plan |
| After any one-off visit | Service report, then the plan offer | Use the visible work to sell the next year |
WhatsApp rules that shape the sequence
If you send these messages through the WhatsApp Business Platform (the API, usually through an inbox tool or provider), three rules decide how the sequence is built:
- Opt-in comes first. Meta’s WhatsApp Business Messaging Policy (updated 23 September 2026) allows you to contact people only if they gave you their number and opted in to receive messages from you, and says you are responsible for an opt-in method that complies with applicable law. Meta’s opt-in guidance requires the opt-in to state clearly that the person is agreeing to WhatsApp messages and to name the business, accepts opt-in collected on paper, on a website, by SMS or in a WhatsApp thread, and suggests separate opt-ins per message category. A clearly worded tick box on the job card can work.
- Templates outside the 24-hour window. Under the same policy, you can reply freely only within 24 hours of the customer’s last message; after that, and to start a conversation, you must use an approved message template.
- Know which messages count as marketing. Meta’s template categorisation guidelines treat a template as utility only if it is non-promotional and specific to, or requested by, the user. A neutral service reminder or visit confirmation can fit. A message that tries to secure a renewal, such as “your plan expires on this date, renew today and save”, is listed as marketing even if the user asked for it, and a template mixing utility and marketing content is marketing too. Meta can recategorise wrongly labelled templates.
Rates differ by category and country; see our WhatsApp Business API pricing guide. Data protection law applies on top of Meta’s rules: Saudi Arabia and Egypt both require prior consent you can prove for marketing messages (Egypt also requires a licence), and both regimes are changing, so check our PDPL direct marketing guide and Egypt guide before the sequence goes live.
Renewals and automatic renewal: check the consumer rules
A renewal system needs a list, a date and a sequence. Every active contract should carry an end date in your CRM or job system, with reminders starting well before it, not on the day it expires. Attach the year’s service reports and a summary of visits completed to the renewal message.
Automatic renewal is tempting because it removes the reminder step. Before you use it, check the consumer rules in each market. We did not find a specific automatic-renewal rule in the texts we reviewed, but they set rules on disclosure, contract terms and cancellation:
| Market | What we found (summarised) | What it means for a maintenance plan |
|---|---|---|
| Saudi Arabia | The E-Commerce Law (Royal Decree M/126, 2019), enforced by the Ministry of Commerce, requires online sellers to state the contract terms and the total price including charges and taxes before the contract (Article 7), and lets the consumer cancel within seven days of the service contract if the service has not been received or used (Article 13). The law does not mention renewals. | If customers sign or pay online, show the plan terms and full price before payment and handle cancellation requests within the seven-day rule. |
| Egypt | Law No. 181 of 2018, enforced by the Consumer Protection Agency, requires prices shown inclusive of taxes and charges (Article 7), contracts in Arabic (Article 5), and for distance contracts disclosure of the duration of periodic service offers (Article 37). Clauses that reduce or exempt the supplier from its legal obligations are void (Article 28). The text we reviewed contains no automatic-renewal provision. | State the plan’s duration and renewal terms in Arabic, in the contract itself. Do not rely on buried clauses to limit your obligations. |
| UAE | We could not read the official text of the Consumer Protection Executive Regulations (Cabinet Resolution No. 66 of 2023, in force 14 October 2023). Law firm summaries by Afridi & Angell, Bracewell and Pinsent Masons say terms giving the supplier unilateral rights to amend or terminate are void and that suppliers must give a warranty document; Pinsent Masons adds that contracts and invoices must be in Arabic. None addresses renewals. | Avoid terms that let you change the plan or its price on your own; agree changes at renewal, with Arabic terms. |
The safe pattern in all three markets is the same: renewal terms written clearly in the contract, a reminder before renewal with the new price, and an easy way to cancel. In Saudi Arabia, also check whether the general consumer protection law the Ministry of Commerce announced as a draft in 2022 (Argaam) has since been issued. This is a working summary of the texts linked above as of 31 October 2026, not legal advice; check the current rules with a qualified lawyer before adding automatic renewal or charging stored cards.
Selling to facility managers
Facility managers compare suppliers on scope, response and reporting, and need something to forward to an owner or procurement:
- An asset register as the starting point. Offer a site survey that lists every unit, its location and condition. The register becomes the basis of the proposal.
- A written scope per site. Visits per asset, response targets, what counts as an emergency, approval limits for parts, and how out-of-hours calls are charged.
- A sample report. Include an anonymised example of the periodic summary the client will receive. For many buyers, the report is the product.
Send proposals by email, because they get forwarded; use WhatsApp for scheduling once signed.
Building the plan sheets, proposal templates and message sequences is part of the work our sales enablement team does with service companies. In the same sector, our work for OX Conditioning, an air-conditioning startup in Egypt, was social media design and Facebook campaigns.
Measure the system, not just the campaign
Ad reports count leads, not recurring revenue. Track these monthly:
- Attach rate: the share of installations that sign a maintenance plan within a set period.
- Follow-up completion: the share of unsigned installations that received every step of the sequence. If this is low, the problem is process, not the offer.
- Visits completed on schedule: missed visits are the fastest route to a lost renewal.
- Renewal rate by plan: if one plan renews far less than the others, look at what its customers were promised.
Review the numbers before the hot season, while there is time to fix the sequence. Start with the attach rate for last year’s installations: if few of them signed a plan, fix the handover step and the plan sheet before you spend anything on winter offers.
Frequently asked questions
When is the best time to sell an AC maintenance contract?
At installation handover, when the customer has just chosen you and the technician can explain the first service date. After that, use a planned follow-up sequence rather than a single winter offer.
Can I send maintenance reminders on WhatsApp?
Yes, through the WhatsApp Business Platform, if the customer opted in to messages from your business. Outside the 24-hour customer service window you need approved templates. Under Meta's guidelines, a neutral reminder can be a utility template, but a message trying to secure a renewal or offering a discount is marketing. Data protection rules on marketing consent also apply.
Is automatic renewal of maintenance contracts allowed in Saudi Arabia and Egypt?
We did not find a specific automatic-renewal rule in Saudi Arabia's E-Commerce Law or Egypt's Consumer Protection Law. Both set disclosure rules, the Saudi law gives a seven-day cancellation right for online contracts in some cases, and Egypt requires contracts in Arabic. Write renewal terms clearly, remind customers before renewal and check the current rules with a qualified lawyer.
